v4.12.0

An address for the whole organization, and a shorter Work Orders list

The person with a problem to report does not always know which building they are writing about. A tenant who moved in last month, a contractor working across a portfolio, someone passing on a complaint they received themselves — each has to be told the right site address before they can report anything, and the address they are given is often the wrong one. This release adds a single address per organization for exactly those people.

One address for the whole organization

Alongside the per-site addresses you already have — yourorg+sitename@ — your organization now has one of its own: yourorg@, with no site in it.

Mail to that address opens a maintenance request with no site yet, and Fia works out which site it belongs to — from who wrote in, the company they write for, and the request itself. Where she does, the change is recorded as hers in the request's log, as every change she makes is. Where she cannot tell, she leaves it for a person rather than guessing.

A request waiting for a site appears in Maintenance Requests for organization admins and managers, who can set the site by hand; a site manager never sees a request that is not theirs.

Turning it on

The organization-wide address is off by default and switched on per organization, under Settings → Fia AI E-mail Agent. Until it is on, mail to it is refused without a reply.

The same page carries the organization-wide address and every site's own address, each with a copy button, so they can be handed out without being typed out.

The Work Orders list no longer fills up with next year's routine work

A maintenance plan generates its work orders a year ahead. A single weekly rule is therefore around fifty Planned work orders, all of them sitting in the list above the work that actually needs doing this week.

The Work Orders list and board now show a periodic work order only once it is close enough to matter. A work order is hidden only when all of the following are true: it is of type Periodic, it is still Planned, and both its Deadline and its Planned Work date are more than a month away. Anything else is shown exactly as before — a periodic work order that has moved on from Planned, one with no deadline at all, and every work order of any other type.

Nothing has been removed or filtered out permanently. The calendar view still shows all of it, which is where upcoming routine work gets planned in the first place; switch to it with the calendar button beside the Work Orders heading.
