Getting Started as a Service Provider
Welcome to Fentrica. As a service provider (external partner), you have focused access to the buildings and properties you are responsible for servicing. You can view and manage work orders assigned to you, inspect linked technical systems and smart spaces, and document completed work — all from a single dashboard.
How you get involved
Your workflow typically begins when a property manager creates a work order and assigns it to you. When this happens, you receive an email notification containing the work order details and a direct link to open it in Fentrica.
You can reply to the email to send messages back to the manager — these appear in the work order's messages tab.
Logging in
Service provider accounts use passwordless authentication by default. You do not need to create or remember a password.
- Tap the work order link in the email you received
- Fentrica sends a one-time PIN to your phone (SMS) or email
- Enter the PIN to authenticate
- You are taken directly to the work order
Work orders may grant you access to door controls, smart spaces, technical systems, and other building infrastructure. Passwordless authentication with a one-time PIN ensures that only you can access these controls, even if the email link is shared.
Setting a password (optional)
If you prefer to log in with a password instead of a one-time PIN each time, you can set one up:
- Log in via the passwordless flow
- Open your Profile & Settings
- Set a password in the Change Password section
Once a password is set, you can log in directly at app.fentrica.com with your email and password.
Install the app
Fentrica is a Progressive Web App (PWA) — you can install it on your phone or computer for quick access without visiting the browser each time.
- Open app.fentrica.com and sign in
- Your browser will show an Install prompt (banner or icon in the address bar)
- Tap Install or Add to Home Screen
- The app appears on your home screen or desktop like a native application
On iOS Safari, tap the Share button and select Add to Home Screen if the automatic prompt does not appear.

Choosing a property
If your account is linked to multiple properties, you will see a property list after logging in. Each card shows the property name, type, and address. Select the property you want to work on. You can switch between properties at any time from the user menu.
If your account only has access to one property, you are taken directly to the dashboard.
Dashboard overview
The service provider dashboard is your home screen for a selected property. It shows the property header with a cover image and name, and a list of your open work orders.
- Open Work Orders — All active work orders assigned to you at this property, filtered to show new, confirmed, in-progress, and done states
The work orders section is only visible if the tasks module is enabled for the property. If you do not see any work orders, the module may not be activated — contact the property manager.
What you can do
- Work Orders — View, confirm, progress, and complete assigned work orders. Learn more
- Technical Systems — View technical systems linked to your work orders (HVAC, elevators, fire systems, etc.)
- Smart Spaces — View smart spaces and sensor data related to your work orders
- Alarms — View alarm details for systems you are servicing
- Smart Documents — Access technical documentation shared with you

Switching context
From the user menu (top-right icon), you can:
- Change Organization — Switch to a different organization (if you work with multiple)
- Change Role — Switch to a different role (if you have multiple roles, e.g., tenant and service provider)
- Change Site — Switch to a different property within the same organization
What you cannot do
As a service provider, your access is limited to work orders and related resources at the properties you are assigned to. You cannot:
- Access property administration or user management
- View data outside of your assigned work orders
- Modify work order details such as title, description, or type
